PRIVACY POLICY – Effective 10 May 2018
We have updated our privacy policy in the light of the GDPR legislation coming into force on 25 May 2018.

YOUR PRIVACY IS IMPORTANT TO USThe PA Club’s core purpose is to connect professionals across the world to help enable them to be more effective and successful. We are committed to transparency about the information and data we collect from and about you, how it is used and with whom it is shared.

This privacy policy applies when you use our services (described below).

Introduction
The PA Club is a business-to-business membership network for professionals who work as Personal Assistants, Executive Assistants, Office Managers and Administrators, Travel Managers, Event Organisers, Virtual Assistants and any similar roles. People use our services to find and be found for connecting with others, business opportunities, information and advice, personal and career development. Our privacy policy applies to any Member, Partner or Visitor to our services.

Our registered users (“Members”) share their professional identities, engage with our network, build relationships with potential suppliers, exchange knowledge and professional insights, view relevant content, learn, and find business and career opportunities. Content and data on some of our services is viewable to non-members, as well as access to some of our events (“Visitors”).

As part of our core purpose, our registered users also include suppliers (“Partners”) of the kind of goods and services which our PA and related professional members tell us they are looking for, and who may be of use to our Members in the course of their business and/or personal activities.

Services
This privacy policy, including our Cookie Policy applies to your use of our services.

This privacy policy applies to Dorchester Clubs Limited Trading as The PA Club, The PA Club and the web site www.paclub.wpengine.com, The PA Club newsletter, PA Club events, The PA Club’s branded and owned activities including The Ask Abbie Show and the web site www.theaskabbieshow.com, Awaydays, Meet the Buyer Days, Prestige Events and Forums and other PA Club-related communications and services (“services”).

Data Controllers and Contracting Parties
The Data Controller of your personal data provided to, or collected by or for, or processed in connection with our services is:

Dorchester Clubs Limited, registered in the UK at 16 Beaufort Court, Admirals Way, London E14 9XL. Dorchester Clubs Limited is also the Data Processor. Dorchester Clubs Limited is based in the EU, but also operates across EU borders. The lead authority for the purposes of Data Protection and GDPR is The Information Commissioner’s Office based in the UK.

As a Visitor or Member or Partner of our Services, the collection, use and sharing of your personal data is subject to this Privacy Policy (which includes our Cookie Policy and other documents referenced in this Privacy Policy) and updates.

Change
Dorchester Clubs Limited Trading as The PA Club (“we” or “us”) can modify this privacy policy, and if we make material changes to it, we will provide notice through our services, or by other means, to provide you the opportunity to review the changes before they become effective. If you object to any changes, you may close your account.

You acknowledge that your continued use of our services after we publish or send a notice about  this updated privacy policy means that the collection, use and sharing of your personal data is subject to this updated privacy policy.

DATA WE COLLECT:

(1) Data you provide to us
You provide data to create an account with us by registering as a member or as a partner or as a visitor, on our web sites or by applying to participate in any of our activities.

(2) Registration
To create an account you need to provide data including your name, email address and/or mobile number, and (except as a visitor) a password. If you register for a premium service such as Prestige Membership or Partner Membership, or attend a paid-for or a “deposit taken” event, you may need to provide payment (e.g., credit card) and/or billing information. If you register for an event where hospitality is provided either free or at a cost, you may need to provide us with a list of any allergies or dietary prohibitions.

(3) Profile
Your profile contains information that helps us you to get the best from our services, including helping recruiters, trainers and partners and suppliers find you. You create your Membership or Partnership business profile. This may include in addition to the information mentioned in the previous paragraph information such as the name and job title of your boss (used only for verification of your seniority), the type of goods and services you buy or influence buying on behalf of your company or employers, information about travel, event, hospitality, hotel and other business buying on behalf of your company or employer, and your interest in particular types of training and personal development.

(4) Posting and Uploading
We collect personal data from you when you provide, email or upload it to our services, such as when you fill out a form, respond to a survey or competition, contribute to a newsletter, send us an email, or submit a CV.

(5) Related Companies and Other Services
We receive data about you when you use some of the other services provided by us or our affiliates, including Microsoft. For example, you may choose to send information via Microsoft Outlook, or via tools we use from trusted outsourced agencies including Survey Monkey and Campaign Monitor, who have their own privacy policies.

(6) Other
We may introduce new features or services, which require the collection of new information. If we collect materially different personal data or materially change how we use your data, we will notify you and may also modify this Privacy Policy.

HOW WE USE YOUR DATA:
We use your data to provide, support, personalise and develop our services.

Services and your rights
Our services help you connect with others, find suppliers, create business opportunities, stay informed, get training and be more productive.

We use your data to authorise access to our services.

(A) Stay connected and informed through newsletters and emails
Our services allow you to stay in touch and up to date with colleagues, partners, clients, and other professional contacts. You agree to receiving our PA Club newsletters and emails from selected partners.

(B) Stay connected and informed through our events
Our services allow you to receive invitations to Club networking events, The Ask Abbie Show, Awaydays and Meet the Buyer days and other events hosted by our partners or third parties.

(C) Stay connected and informed about career and personal development opportunities
Our Services allow you to explore careers, evaluate educational opportunities, and seek out, and be found for, career opportunities. We may use your data to recommend jobs to you and you to recruiters. We may email you about CV clinics, training and personal development courses and seminars which could benefit you.

(D) Stay Informed
Our services allow you to stay informed about news, events and ideas regarding professional topics you care about, and from industry professionals and suppliers. Our services also allow you to improve your professional skills, or learn new ones.

(E) Stay productive
Our Services allow you to meet and collaborate with colleagues, search for potential clients, suppliers, partners and others to do business with.

You may at any time ask NOT to receive all of the above services, but this will naturally affect your ability to get the best results from The PA Club.

Communications
We may contact you through email, mobile phone, notices posted on our websites or apps, and other ways through our services, including text messages and push notifications. We may send you messages about the availability of our services, security, or other service-related issues. We may also send messages about how to use the services, reminders, job suggestions and promotional messages from us and our partners. Please be aware that you cannot opt-out of receiving service messages from us, including security and legal notices.

SHARING YOUR DATA: What we do and do not do
We do NOT share your personal data with any members, partners, or third-party advertisers except for (1) your name, company name and email address to the host or hosts of an event which you signed up to attend whether or not you have attended it (2) supplying your name, job position, company name and email address in printed catalogue format to exhibitors at PA Club Awaydays, known also as Meet the Buyer Days. You may at any time ask not to be included in such communications or lists, but this may affect your ability to get the best results from The PA Club.

In all other operations of The Club, you agree that it is your decision alone whether to give your contact or other details to any PA Club member, partner or visitor, including responding to a Partner questionnaire or competition or a PA Club survey and you acknowledge that your details will freely be passed on by you and not by The PA Club.

You agree that by visiting a Partner’s web site or contacting a Partner’s email address listed on our website or in our newsletters or other communications, you are leaving our site and are freely passing on your information to that third party. Once you have used these links to leave our site, you should note that we do not have any control over that other website. We cannot be responsible for the protection and privacy of any information which you provide whilst visiting such sites and such sites are not governed by this privacy statement. You should exercise caution and look at the privacy statement applicable to the website in question.

Marketing
We promote our services to you and others.

We use general data and content about members for invitations and communications promoting membership and network growth, engagement and our services.

Developing Services and Research
We develop our services and conduct research.

Service Development
We use data, including public feedback, to conduct research for the further development of our services in order to provide you and others with a better, more intuitive and personalised experience, drive membership growth and engagement with our services, and help connect professionals to each other and to develop business opportunities.

Surveys
Polls and surveys are conducted by us and others through our services. You are not obliged to respond to polls or surveys, and you have choices about the information you provide.

Customer Support
We use data to help you and fix problems. We use the data which can include your communications to us to investigate, respond to and resolve complaints and service issues (e.g., bugs).

Aggregate Insights
We use data to generate aggregate insights.We may your data to produce and share aggregated insights that do not identify you in any way. For example we may use your data to generate statistics about our members, their profession or industry, to calculate ad impressions served or clicked on, or to publish visitor demographics for a service.

Security and Investigations
We use data for security, fraud prevention and investigations.

We use your data (including your communications) if we think it’s necessary for security purposes or to investigate possible fraud or other violations of our User Agreement or this Privacy Policy and/or attempts to harm our Members or Visitors.

Service Providers
We may use others to help us with our Services.

We use others to help us provide our Services (e.g., event invitations, maintenance, analysis, audit, payments, fraud detection, catalogue and business card publishing). They will have access to your information as reasonably necessary to perform these tasks on our behalf and are obliged not to disclose or use it for other purposes.

Legal Disclosures
We may need to share your data when we believe it’s required by law or to help protect the rights and safety of you, us or others.

Change in Control or Sale
We may share your data when our business is sold to others, but it must continue to be used in accordance with this privacy policy.

We can also share your personal data as part of a sale, merger or change in control, or in preparation for any of these events. Any other entity which buys us or part of our business will have the right to continue to use your data, but only in the manner set out in this privacy policy unless you agree otherwise.

YOUR CHOICES AND OBLIGATIONS

Data Retention
We keep most of your personal data for as long as your account is open.

We retain your personal data while you remain a member or as needed to provide you services. This includes data you or others provided to us and data generated or inferred from your use of our services. Even if you only use our Services every few years, we will retain your information and keep your profile open until you decide to unsubscribe from PA Club membership.

Rights to Access and Control Your Personal Data
You can access or delete your personal data. You have many choices about how your data is collected, used and shared.

We provide choices about the collection, use and sharing of your data, from deleting or correcting data you include in your profile to opt-outs from all of our services.

For personal data that we have about you:

  • Delete Data: You can ask us to erase all of your personal data (e.g., if it is no longer necessary to provide services to you).
  • Change or Correct Data: You can edit your personal data through your account. You can login to your account on The PA Club web site to change, update or fix your data in certain cases, particularly if it’s inaccurate.
  • Object to, or Limit or Restrict, Use of Data: You can ask us to stop using all of your personal data (e.g., if we have no legal right to keep using it) or to limit our use of it (e.g., if your personal data is inaccurate or unlawfully held).
  • Right to Access and/or Take Your Data: You can view your personal data on our web site through your account, or ask us at: abbie.smith@thepaclub.com for a copy of your personal data and you can ask for a copy of personal data you provided in machine readable form, for which a charge may be payable.

OTHER INFORMATION

Security
We monitor for and try to prevent security breaches.

We regularly monitor our systems for possible vulnerabilities and attacks. However, we cannot warrant the security of any information that you send us. There is no guarantee that data may not be accessed, disclosed, altered, or destroyed by breach of any of our physical, technical, or managerial safeguards.

Lawful Basis for Processing
We have a lawful basis to collect, use and share data about you. You have choices about our use of your data, and at any time, you can withdraw any consent you have provided by emailing us at: michael.hislop@thepaclub.com

We will only collect and process personal data about you where we have a lawful basis. Our lawful basis is “Legitimate Interests”, where the collection and processing of your data is necessary to achieve the core purpose of The PA Club, and no unjustified harm or unexpected uses of the processing occurs to affect your interests, rights and freedoms.
